Describe the movement

Identify the origin and destination as precisely as you can. State whether the cargo is ready and the date you would like the movement to begin.

Describe the packed cargo

Include the cargo description, package count, gross weight and dimensions when available. Mark estimates clearly and keep the product specification with the enquiry.

State the service boundaries

Explain which parts of the movement you want reviewed. Ask the proposal to distinguish transport, handling and documentation scope, rather than treating one headline number as the whole service.

Keep open questions visible

Record the details still to be confirmed. Before approval, check the agreed scope, timing, quotation validity and what happens if the requirement changes.
